Facilitating the leg of a VIP band tour
A record label and entertainment agency asked for our help in ensuring the transport of a VIP music group between concerts in two different countries. Due to the high-profile nature of the group and the tight timeframe between concerts, our client tasked us with streamlining logistics by moving the whole group together rather than splitting them across multiple scheduled flights.
Our Solution
Routes: Mexico City (NLU) > Los Angeles
Aircraft: Boeing B737-800
After an enquiry came to our Hong Kong office from a client regarding the transportation of a music group between cities in two countries, our broker responded swiftly, delivering the first tailored solution within 24 hours of the initial enquiry, followed by three additional options over the next week. After consulting with our client and considering the high-profile nature of the group, we recommended an all-business-class aircraft to ensure maximum comfort and privacy – an option the client readily approved. To further enhance discretion and ease of travel, we incorporated the use of private terminals (FBOs) at all departure and arrival points. Although the client initially requested to depart from Mexico City Airport (MEX), our charter consultants, drawing on local expertise, advised that MEX’s congestion made it unsuitable for charter operations. We instead proposed Felipe Ángeles International Airport (NLU), a suitable alternative only a short journey from the city centre, which the client agreed with.
With concerts scheduled closely together, private charter allowed the entire group to travel together, each with two hold bags – offering flexibility and helping the label avoid excess baggage charges. Our HKG-based charter consultant collaborated closely with brokers from our LAX and MEX offices, combining regional knowledge and strong relationships with carriers to secure the most suitable aircraft (also arranging pre-flight video calls with the carrier to ensure all operational details were addressed in advance). On the day of departure, we arranged for an ACS flight representative to be present at NLU, coordinating with local authorities in Spanish and resolving a customs issue involving the group’s ATA carnet for concert equipment. Upon arrival in Los Angeles, another ACS flight representative personally welcomed the group upon landing, ensuring a smooth transition through the airport and a timely arrival at their sound check.
